Switch in a weekend

Most businesses can move across in a weekend. The trick is to bring over what's live (clients, open jobs, unpaid invoices, your prices) and leave the history in your old system until you're sure.

Before the weekend

• Open Vellier and choose your trade. It sets your wording, menus and job templates.
• Turn on quiet mode (Settings › Moving to Vellier) and set your go-live date to Monday. Vellier holds every automatic client message until then, so nobody gets a surprise email.
• Read the export guide for your current system so you know where each list lives.
• Tell your team which day they'll start clocking in on the Vellier phone app.

Friday afternoon: export

1. Export clients, sites and contacts.
2. Export open jobs and unpaid invoices. Set every filter to "all" first; most systems only export what's on screen.
3. Export your price list and suppliers.
4. Download documents and photos for open jobs only, in a folder per job or client.

Saturday: import and check

1. Drop the files into Settings › Moving to Vellier. Vellier recognises each file from its columns and shows a dry run.
2. Work through the fix list: duplicate clients, missing postcodes, jobs with no client.
3. Import. Open jobs become live projects and unpaid invoices become balances to collect.
4. Check five clients and five jobs against your old system.

Sunday: set up the things that don't export

• Your quote and invoice wording, numbering and payment terms
• Your team, their roles and what each person can see
• Bank details, card payments and your accounts package
• Any job templates and checklists you used every week

Monday: go live

• Quiet mode ends on your go-live date. Reminders and client updates start from here, not for anything older.
• Your team clocks in on the phone app.
• Keep your old system on read-only for a month or two, then cancel it.
