Delete your account

How to delete your Vellier account and your data, what is deleted, what we have to keep and for how long, and what to do if you're a client of a business that uses Vellier.

Last updated Sunday 1 November 2026

This page is for anyone with a Vellier sign-in: business owners, admins and staff, on the web or in the Vellier phone app. It explains how to ask us to delete your account and the personal information we hold about you.

Ask us to delete your account

Email [email protected] from the email address you sign in with, and tell us:

  • your name and the email address you sign in with
  • the name of the business your account belongs to
  • whether you want just your own sign-in deleted, or (if you're the owner) the whole business account

We may need to check it's you before we delete anything. We reply within one month.

You can also do it yourself:

  • Staff: in the phone app, go to Me › Request account deletion, or ask the owner or an admin of your business. The business removes you from the team with "Mark as left". That ends your sign-in to the web and the phone app straight away (see below for what your employer must keep).
  • Business owners: cancel your Vellier subscription in Settings › Usage and billing, export anything you need (Settings › Data and backups), then email us to close the business account.

Deleting the phone app from your phone doesn't delete your account.

What is deleted

  • Your sign-in: name, email, mobile number, password (stored only as a one-way hash), two-step sign-in settings and phone app tokens.
  • For a closed business account: everything in it, including clients, jobs, quotes, invoices, photos and documents. We keep it for 30 days after closing so a mistake can be put right, then delete it from the live system. Encrypted backup copies are kept only to recover the service and age out of our backup rotation within about 12 months (we keep 30 daily and 12 monthly backups).
  • For a business account whose free trial ended without a plan being chosen, and that has never paid (only once Vellier switches this on): we email the owner 30, 60 and 83 days after the trial ended, the last time with a link to download the data, and then delete the account and its data 90 days after the trial ended. Choosing a plan at any point stops this.

If you work for a business that uses Vellier (staff)

Your employer is in charge of your staff record, not Vellier. When it marks you as left:

  • your sign-in to that business ends straight away, every web and phone session is signed out, phone notification tokens are removed and any location sharing stops;
  • your future shifts are cancelled and open tasks are unassigned;
  • your staff record is kept, not deleted: timesheets, clock-in and clock-out records, pay, holiday, training and documents. Employers must keep pay, tax, holiday and working-time records for at least 6 years, so these stay for 6 years after you leave and are then due for deletion under the business's retention settings. Raw location points recorded while you were clocked in are deleted after the business's location retention period (12 months unless it chose differently).

You can ask your employer for a copy of your records at any time.

What we have to keep, and for how long

  • Vellier's own billing records (your subscription invoices and payments): 6 years after the end of the financial year, because HMRC requires it.
  • Security and audit logs: up to 7 years for high-importance events and 2 years for others, to protect accounts and investigate problems.
  • Support messages: 2 years after the last contact.

Records a business has to keep for its own customers, such as the invoices it sent (6 years for HMRC), are the business's responsibility: export them before you close the account.

If you're a client of a business that uses Vellier

The business you dealt with is in charge of your information, not Vellier. Ask that business to delete it. It can erase you from its Vellier account (Client data requests): your name, contact details, sign-in, messages, notes, ratings, saved cards and similar records are removed or anonymised. Records it must keep by law, such as invoices and payments (6 years for HMRC), are kept with your name taken off where possible. The business will tell you if anything has to be kept. If you can't reach the business, email [email protected] with its name and we'll pass your request on.
